An AI-Accelerated Technology Evaluation Service for Complex Enterprise Decisions
Choosing the right technology becomes difficult when vendors, requirements and stakeholder priorities multiply. A major Australian enterprise needed to evaluate eleven competing AI-enabled software vendors across twelve senior stakeholders without a consistent baseline for comparison.
Skillfield’s AI-Powered Technology Evaluation Service created an independent, business-wide evaluation framework, using AI and automation to accelerate requirements development, scoring and reporting. The result was a faster, fairer and evidence-based selection process that turned months of potential analysis into days.
The Problem
The organisation needed to evaluate eleven technology vendors across requirements spanning security, engineering, operations, software development and governance. Without an agreed baseline, vendors could emphasise their individual strengths, making meaningful like-for-like comparison difficult.
Twelve senior stakeholders also brought different priorities to the decision. Without an independent evaluation framework, technology selection risked becoming driven by individual team requirements rather than what best supported the organisation’s broader strategy.
Manually developing bottom-up comprehensive requirements, coordinating demonstrations and consolidating thousands of scores would have required significant specialist effort over several months. The organisation needed a faster way to establish common requirements, remove departmental bias and give stakeholders an objective, consistent basis for evaluating each solution.
The Solution
Skillfield applied its AI-powered Technology Evaluation Service, developing approximately 100 use cases across a two-stage process: structured vendor demonstrations followed by hands-on testing of shortlisted solutions by internal specialists.
AI accelerated the initial development of use cases, while Skillfield specialists reviewed and refined each use case using organisational, technology and cyber security expertise before stakeholder validation.
To create a consistent framework for comparison and reduce the risk of vendors steering demonstrations towards their strongest features, Skillfield used AI to develop a structured demonstration agenda, guiding each vendor to showcase its capabilities against the assessors’ areas of interest. Vendors were also asked to complete a capability questionnaire focused on capability compliance with the use cases and provide additional evidence and supporting artefacts for offline review.
Following vendor demonstrations, AI-assisted analysis converted recorded sessions and questionnaire responses into consistent vendor report cards, with findings checked against source material. Skillfield also built automated scoring tools to consolidate approximately 5,500 data points across eleven vendor workbooks within seconds. Any inconsistencies between assessor scoring and vendor-supplied material were also highlighted in this process.
As an independent, vendor-agnostic partner, Skillfield assessed each option against organisation-wide requirements and strategic objectives rather than the priorities of any individual team or vendor.
The Outcome
The use cases were accepted by all twelve stakeholders without substantive changes, accelerating work that could otherwise have required months of business analysis and consultation.
Automated scoring and AI-assisted reporting gave stakeholders a live view of evaluation progress, gaps, and results, creating a transparent, evidence-based foundation for shortlisting. Differences in stakeholder preferences became visible without allowing any individual team to dominate the evaluation.
When Skillfield presented the final outcomes, stakeholders responded strongly to the evaluation’s clarity and rigour. One stakeholder commented that “this should be the new standard to meet when comparing vendors in the future”.
The result was a faster, more objective technology selection process that reduced internal friction while keeping the decision focused on enterprise-wide requirements and strategic fit.
